Email Migration

This page will act as the guide for your email migration. Whether you purchased Google Workspace or Web Hosting Email, we are excited for you to begin your journey and start enjoying the benefits that come with your new email service. If you haven’t already, please purchase your new service and return here when you are ready to begin your migration.

Mail migration to Google Workspace

Steps

1. Recreate new mailboxes in the Google Workspace (Optional)

When you purchase Google Workspace it automatically creates an account for you (i.e. [email protected]). Before you begin your mail migration recreate your mailboxes in your new Google Workspace account. For example, [email protected].

To create a new mailbox in Google Workspace:

1. Log in to Google Admin at https://admin.google.com/

2. Click on Users

3. Hover over the user that was automatically created for you (admin@yourdomain) and click Rename user 

4. Recreate your existing mailbox in the Primary email field

5. Click rename

2. Verify your login info for the mailbox you will migrate is correct

You will need to know the username and password for your existing email account to use the Google Workspace data migration tool. If you need to change your mailbox password, view our guide.

3. Start your migration

1. Click on Data migration in your Google Admin account

2. Click Set Data Migration Up

3. A new page will open called Configure Data Migration Service. Under Migration Source, select Other IMAP Server

4. Under Select the type of items to migrate from your source server, select Email

5. Under Connect Protocol, select IMAP. For the IMAP server address, you will input mail.mailspot.info

6. Under Role Account, enter the email address (Username) and password for your existing email service

7. Click Start

8. A new page will open. Here you can choose your migration start date from the past 1 year, past 6 months, past 3 months, past 1 month, or a custom date

Please note: If you would like to migrate all of your mail, select Custom Date and choose a date in the distant past like 01/01/2000

 9. Under migration options you can leave the default (all unchecked) to avoid migration junk mail, deleted mail, or customize the migration to exclude folders

10. Click Select Users

11. You may be prompted to log in to your Google Workspace account again

12. Click Add user

13. Enter the email address of your existing email service, the password for your existing email service, and the new Google Workspace email address you are migrating your mail to

14. Click Start to begin your migration

15. The migration will initialize

16. Depending on the amount of data that is being migrated this can take 10 mins to several hours. To monitor a migration you can use this guide

17. Once the mail migration is complete the status will display complete

 18. Once you are finished, you can exit the migration by clicking More and Exit migration

Please note: You may run the migration tool once more within 24 hours to retrieve any new messages that may have been sent to your old mailboxes.

4. Change your DNS records to Google

You will continue to receive your mail at your existing email service until you update your DNS records.

1. Go back into your 101domain account at https://my.101domain.com

2. Click on the Websites, Email & Security Tab

3. Select your Google Workspace account

4. Check the box, “Please replace my existing nameserver records with the nameserver records required for Google Workspace.”

5. Click Confirm and our system will automatically update these records for you

If for some reason this option is not displayed, follow the guide below to add the nameserver records required for Google Workspace to work properly.

Assisted migration to Google Workspace

If you are too busy or not comfortable following the guide above to migrate your email data to Google Workspace yourself, our Hosting and Solutions teams will migrate your mail for you free of charge for Google Workspace plans with 2+ users. Google Workspace accounts with 1 user will incur a small fee.

Steps

1. Recreate new mailboxes in the Google Workspace (Optional)

When you purchase Google Workspace it automatically creates an account for you (i.e. [email protected]). Before you begin your mail migration recreate your mailboxes in your new Google Workspace account. For example, [email protected].

To create a new mailbox in Google Workspace:

1. Log in to Google Admin at https://admin.google.com/

2. Click on Users

3. Hover over the user that was automatically created for you (admin@yourdomain) and click Rename user 

4. Recreate your existing mailbox in the Primary email field

5. Click rename

2. For Google Workspace Accounts with 1 user, please purchase our Email Service Migration for $19.95. All other Google Workspace accounts can skip to step 3.

3. Open a support ticket in your account

Open a support ticket in your account. Our team will be in touch with you via support ticket throughout the entire migration process so please pay close attention to your support messages. We will let you know the date your migration is scheduled and when the migration is complete.

Mail migration to Web Hosting

Steps

1. Recreate new mailboxes in the web hosting panel (Optional)

Before you begin your mail migration recreate your mailboxes in the new mail service.

To create a new mailbox in the web hosting panel, view our guide.

2. Migrate your mail

There are three options you can use for your mail migration.

Option A: Mail backup using Outlook

STEP 1: Connect your existing mailboxes to Outlook: (if you are already using Outlook skip to step 2)

STEP 2: Back up (export) your mail using Outlook:

  1. Open Outlook and click File
  2. Click Open & Export
  3. Click Import/Export
  4. In the Import & Export Wizard, select Export to a file, and click Next
  5. Select Outlook Data File (.pst), and click Next
  6. Select the folder to export from (i.e. Inbox). Make sure Include subfolders is checked, and click Next
  7. Click Finish
  8. Choose your options. For this guide, we have chosen Do not export duplicate items, and click Finish
  9. Add optional password, and click OK
  10. Your backup is now located in documents\\Outlook Files\\backup.pst

STEP 3: Connect your new mailboxes in the web hosting panel to Outlook:

STEP 4: Import your mail back up:

  1. Open Outlook and click File
  2. Click Open & Export
  3. Click Import/Export
  4. In the Import & Export Wizard, select Import from another program or file, and click Next
  5. Select Outlook Data File (.pst), and click Next
  6. Select the folder to import: located in documents\\Outlook Files\\backup.pst
  7. Select Do not import duplicates or any option you prefer, and click Next
  8. Enter the optional password you created, and click OK, and click Next
  9. Select the folder to import from, and select the folder to import into, and select Finish
  10. You have now completed your import.

Option B: Mail backup using Site Import

  1. Log into Plesk
  2. Install Site Import extension
  3. Go to Domains > example.com > Mail Importing > Import mail messages;
  4. Specify the email and password of the source mailbox

    5. Choose the destination mailbox. The existing mailbox can be chosen from the drop-down list or a new one сan be created instead. For a new mailbox specify the name and password:

      6. Click OK

      Option C: Mail backup using Imapsync (requires sharing your password with a third-party service)

      1. Reset the passwords for your existing mailboxes to a new temporary password. Copy and paste the login info into a notepad. You will want to use temporary passwords for this migration since you are sharing your password with a third-party app. Once you are done with your migration, change and reset your passwords.       2. Navigate to Imapsync at https://imapsync.lamiral.info/X/
      3. Enter the IMAP source mailbox info:

      Enter the source email address

      Enter the source email password

      Enter the server name. You will use mail.mailspot.info

      4. Enter the IMAP destination

      Enter the email of the destination box

      Enter the password of the destination box

      Enter the mail server name for your mail server. For help finding this, view our guide.

      5. Verify everything is entered correctly, and click Sync or resync!

      Please note: if you need to abort, click Abort!

      6. You can now change your DNS records to your hosting server. For help adding DNS records for your new hosting service view our guide.

      Please note: DNS propagation takes 24 -48 hours so there may be some downtime. You can run the migration tool one more time after 24 hours just to catch any mail that was sent to the old mailbox during that time.

      3. Your migration is complete

      FAQ

      How long does the migration take?

      When you migrate your data yourself, it can take anywhere from a few minutes up to a few hours. If you choose assisted migration, you will be entered into a queue and migrated by our team at the first possible convenience.

      Can I use my existing email service during the migration?
